Most clients receive one invoice at the start of each month, followed by a backup file once that month's payroll inputs are final.
- Invoice: on the 1st, you receive an invoice for the base total cost of your team, based on their contracts (salaries, employer contributions and our service fee). Sending it at the start of the month gives you more time to review it and plan the payment.
- Payroll inputs: send us any changes for the month (bonuses, overtime, leave, expenses or other adjustments) by the 10th.
- Backup file: around the 15th, we share a backup file showing how each line of your invoice was calculated.
- Balancing: if your inputs change the total cost, the difference is settled through balancing (see "What is balancing?").
Some set-ups work differently:
- Bi-weekly payroll: where salaries are paid twice a month, you receive two invoices a month, each with a matching backup file. The first is sent on the 5th (inputs due by the 2nd) and is due on the 12th. The second is sent on the 15th (inputs due by the 10th) and is due on the 22nd.
- An invoice that matches the backup file exactly: you can opt in to receive your invoice only once the backup file is finalised and delivered on the 15th. The invoice then matches the backup file exactly, with no reconciliations or variances. This option costs €25 per invoice per month.
- Tailored schedules: some accounts follow an invoicing schedule agreed in their contract. Your Customer Experience Representative can confirm yours.
